As my collection is not huge, I have stored my coins in 2×2 coin holders and I have stacked everything in a box. I have close to around 55 currency world notes and I have neatly kept them in individual sleeves.
I know this one is off topic and forum but still - I have loads of stamps too and I have segregated them countrywise and stored everything in a ziplock bag.
I now want to organize my collection in a better way and after doing some research on internet realized that its better to keep stuff in individual PVC sheets that can be then stored in a spiral file. This way I will have three different files for all the items. This way it will be easier for me to manage, store and carry my entire collection.
How do you all store and manage your coin and currency notes collection? Would also request views on safely keeping stamps too but ignore if its violates the forum rules.
If you all can also post snaps of your entire collection that would also help immensely.
Avoid PVC. It damages coins over time, especially in warm environments. Use Mylar whenever you can.
My US coins are in Whitman folders, and I have similar folders for some Canadian coins.
My world coins are stored in plastic trays like this one. I bought the trays at a hobby/craft store, originally meant for sorting beads. My coins are sorted into the bin cells by date. I've filled four bins, and I just expanded into a fifth.

Being at the beginning myself, I think I will put my most precious coins and the ones that I know I won't give away in 2x2 holders.
As for the others, I have no idea what to do and how to store it Still thinking and trying to find answers here and there.
Is it good to put them all in 2x2 holders? I mean, some of them I know I want to have them replaced, but if I put it in a holder, the new one will require another holder. The investition seems to be a bit of a win-lose situation.

Many thanks for the quick replies. I happen to visit a local store to check the price of Vinyl sheets. Each Vinyl sheet for paper currency would cost around 0.75 USD and will hold 3 notes. So I would need a minimum of 20 such sheets to hold my collection plus I would need more for future use. Gosh, wasn't aware that its going to be such a costly affair. I like some of the cost effective ideas you all have given.

With over 14,000 coins I cant photograph them. Suffice to say they are in numerous albums, organiser boxes, a coin cabinet, two drawer cabinets, specimen boxes, and even plastic ice cream boxes (what else do you do with 1000 French centimes and a similar number of Spanish peseta coins?)
Before you ask, YES my wife is thoroughly fed up with them all over the place, and I am scared the floor will give way under the weight!

Wow I also want to capture and display all the information about the coin on the holder but I guess its not possible on 2*2 holders due to space constraint. I love the way you have labelled your each and every coin, clearly shows your passion for the hobby and love for each coin that you have in your collection.
My collection is in 2x2 holders in 20 pocket sheets and then in notebooks.
As for the coins I want to swap I put each country in a white envelope with the country on the top. I found a cardboard box that just fits the envelopes. This works great and is cheap.

Okay, here's the specimen box example. This is a plastic geology specimen box, lined with a bit of cheap red felt, and the coin placed on top. This one is holding an American $ coin, so you get an idea of the size. being almost air-tight the lustre should be much less affected than if the coin was in the open.

They are mostly duplicates. Not exciting at all. Lots of French centimes and Francs, Spanish Pesetas, Greek Drachma, Belgian Francs, American cents, German pfennigs and Turkish Lira. I shouldn't want anyone to think I had a half-way decent collection, I haven't. They are almost all modern, worthless junk. With perhaps a dozen decent older coins and about a dozen decent proof sets, but nothing of any value.

Hmm, have you thought about making some sort of time capsule? Years ago, I buried a jar of centimes near an iron age hill fort, thinking it would mess some heads up if they get unearthed in say..400 years time.
For me. I store the crème de la crème of my collection in the lighthouse holder thingies which in turn go in a shoe box. All the shiny, especially interesting and sentimental stuff goes in plastic thingies. All the rest(approx 80%) presently sits in an antique tin, where they await the next great move.

I have a new section on the site where anyone can keep an online digital database of there coin photos if you wanted to keep photos of your collection somewhere.
Finally this is how I have decided to store my coins, though I am not too sure about writing on coin holders cause my handwriting is pretty bad and I don't think I have enough space left on my coin holders to stick printed info.
I keep my inventory with Excel. (Could use Open Office a freebee) I have 4 or 5 Sheets for about 50 Countries each sheet, as well one for the Totals.
It is easy to insert new coins or notes about the coins or country.

This is my "working collection", I have several thousand coins, not sure how many exactly as I never gave it a though until pondering this thread. I should count them. (picture didn't upload too well but if you click it then it's much larger and clearer)
I keep the most expensive coins in a safe deposit box. It's not very satisfying, they belong more to Wells Fargo than me. I keep several CSA items there, including Confederate Bond Receipts signed by the brother of a US president and Governor of Virginia. Can't recall the name at the moment. (See what I mean about safe deposit boxes?) A few encapsulated MS coins (sterile - can't hold them) and a bunch of junk silver dollars and halves. My retirement stash. If anyone is interested I will try to get some pictures, I'm not sure what the Wells Fargo security would make of me setting up a tripod though.
My actual collection, as opposed to my retirement fund is mixed up between albums, folders and cigar boxes. As you can see it is quite a mess but it's ordered chaos. I can find any coin in seconds. The better coins which I am actively collecting go into albums, or Whitman folders until I can afford an album. Lower grade coins and those from countries I don't actively collect live in the cigar boxes. These are guarded by two shotguns, a 9 millimetre Taurus, a 38 revolver, 1 sword, several ball bats, a large dog, a seriously dysfunctional cat, and a wife (green eyed, red haired Irish/Sicilian) who can load and shoot the side by side twelve guage in under 10 seconds. I think they are safe.
One day I may sell up and buy 14,000 wives instead.

I found a really nice coin collecting database on cnet and downloaded it. Started to enter my collection but my PC was fried a week or so ago during a tropical storm. Once I get it fixed I would really like to complete it but it's very slow and time consuming.

Got my coin sheets and started putting my coin holders in the sheets today afternoon. It was really disheartening to realize that I have stapled almost all my 250 coins upside down i.e. if i look at the coin observe then the pulling knob goes down and if I keep the pulling knob up (ideally this is how it should be in coin sheets) the coin gets inverted. lol
Got an idea and decided to cut the pulling knob but later I realized that I have stapled the reverse of most of the coins in front and the most imp part observe (where you see all coin details like date and other info.) is on the other side of the coin. I have no idea what I should do now. I was putting my huge collection of German 1 RP, 2 RP and 10 RP coins and now they all look same apart from the size as they all have same picture on them. Ideally the inscription 1, 2 and 10 RP should come in front so that I can identity what is what. Never mind, I hope amateur collector will learn from mistake.
Annoyed with the damage caused to coins by vinyl and possibly other plastics contained in expensive "coin albums", I am now using geology specimen display cases! I mentioned these earlier, small plastic trays in which I lay a piece of red felt and place the coin on to, and then the whole has a very tight fitting clear perspex or acrylic cover. They work out quite expensive pro-rata, but look nice and keep the coins safe - well they don't actively damage them anyway!

the aluminium case with six assorted trays are £19.99 with £6 pp the same cases are nearly £40 on other sites You can also buy extra trays at about £6 a pair. If you are going to use coin capsules you may have to use the next size tray for example the 77 space tray nice for farthing/sixpence size coins but if they go into a capsule they fit in the forty space tray it does not happen with every coin but it is something to bear in mind. As for the expense when I first saw them I thought it would be a nice way to store my best coins so I bought one then after I had used it I was hooked and I am going on to my next case which will mean nearly all my lose coins will be in trays.

For my coins i use several binders with a double lever arch, such as:
In there i use plastic sheets for 20 coin-holders (as mayank showd in the post on september 4th). Each country has it's own plastic sheet. If i have 12 coins of a country, the other 8 places will be filled with a "non-hole-coin-card". In the lower-right-corner i add the name of the country so it makes searches easier.
Matt Probert warnes about plastic and he is right. There are plastic coin-holders which can damage your coins. But there are also coinholders with acid-free glue/plastic.
I don't write anything on the coinholders. I putt all the information in an Excel-sheet. You can see a part of my list here:
And my coins are added in the plastic sheets on the same way as on my Excel-list.
Byrne showed in his post on september 6th also an Excel-sheet. I don't add flags or maps. But i made a column with the countrynames in it. This makes searches a lot easier. I use the autofilter on the list. With the formula CountA you can count the total of your list. With the formula Subtotal you can count the total of the selected rows.
I scan each coin and each picture has a name. With a macro i can easily popup my obverse or reverse-coin-image.
With an other macro i can easily make my own webpages with my coins and my doubles.
And my doubles, i put them in envelopes, on the envelope i write the country en KM-number. The envelopes are put in several containers made of cardboard.
why do you don't want to label your coins? Don't you feel it would be much easier if you stick some info on the coins? Instead of having an excel sheet, may be after each sheet you can put a file separator and on that you can stick the country flag and print out of some info. on the coin types of that particular country.
As I mentioned my handwriting is not that great so I am waiting to buy a self adhesive A4 size inkjet label.

No, it is the result of exposure to the air. This is why BUNC and proof coins are often sold encapsulated or slabbed so that the air cannot reach them.

I don't write on the coinholders because my handwriting is not great too. So, the cardholder looks better when it's blanc than with my writing on it.
I put the coins in the plastic sheets on the same way as they are on my Excel-sheet. That's why a make for each country a new plastic sheet. When i add new coins i have to reorganize only the coins of that country.
The flags of the countries are already on this site. Maybe the country-maps and other info (as in World-Coins books) can add to this site.

You're right, the best quality-coins are encapsulated. But i use more than 15 years self adhesive coin cardholders as importa or hartberger. Even the first cardholders look as new.

You can do what you like with your coins! But rubbing any metal will eventually wear away the surface, and they will only tarnish again if they remain exposed to the air. Some people like the natural patina they develope, it does help to identify the authenticity of an old coin, and some people expect to see old, particularly bronze coins, to be in a dark brown colour rather than shiny.
didi83 that is really neat. I, like you, collect my coins and have put them in albums. I strangely collect consecutive dates of all the coins I have. Where there is a gap; I'll try to fill it.
I haven't been able to 'file' all my coins yet but I am looking forward to the day when they are. I have promised not to buy any coins until they are all catalogued. This is killing me but I hope that I'll get a move on with the cataloguing.

I had bad experiences - especially with copper pennies in albums - oxydation was awful. Coins were dry, matte and with green on edges - I had to send them to circulation

Doesn't this happen if you put them in PVC sheets? I put my coins in polyethylene sheets and they're just good and lovely and nothing happens to them. Well, yet. I'll see that in time. Anyway, I want to put the coins in 2x2's as well, the staple type :)
2x2's are definitely the way to go because the plastic they use is inert and does not affect the coins, even over long periods. The only trouble is they are so expensive, especially if you have thousands of coins in your collection!

I have tried a new thing to keep my coin collection, as priviously they were just dumpped into one box.
I purchased 2000 resealable plastic bags about 1.5" x 2" where a coin can slip inside, remove the plastic coating over the sealant and just stick it as per the size of the coin. These resealable bags are avilable for Rs. 40 for 500 pcs ( very cheap) not even a dollar for 500 coins. I have nither used a chart paper nor a staple. After inserting the coins in the resealable bags they look very neat and tidy. You can then store the coins standing or stack them in a box with hard carton to seperate and distinguish between. OR you can also sagregate it and put in different boxes as OLD, Indian- british, Republic - india and so on,,,,

I just stopped collecting coins getinge busy in my job. quite fortunate to visit many countries for the past 10 years and collected more coins but never looked after them. Now is the time to set it right as the hobby needs to be given time. I found this site very nice which gives you analysis and statistics of coins and how far you need to reach in our collection. Slowly and steadly i want to upload all my collection started with some odd 50 coins with me and many more to go. I live in Goregaon and VASAI. All my coins are in vasai.

Just out of curiosity out there -- do they make AirTites or any form of self-slabbing system which can be used for any size or shape coin? For instance, an 1871 Bavarian Kreuzer is very small and thin, and a 1942 British Indian 1/2 Anna is square-shaped. Will an airtite accomodate the size and shape of different coins?
As a beginner I'm using 2x2 cardboard flips. I'm finding it the easiest and cheapest way. I can label them and put them neatly into a small box. Maybe sometimes down the road I will get the pages for the flips. And I have begun an Excel sheet as well. Still not to familiar with taking pictures though but I will get there with more tries.

You do know that PVC contains chemical softeners right? Its basically the same thing as vinyl. Sometimes you have to read the material contents closely. Companies are tricky and will use confusing terms to sell their products.
I am using Leuchtturm Numis cases, too.
They advertise them with the promise "not using any softeners or acidic materials".
well - I will see if this is true. however, didi83 is right about that this brand has a long tradition

I carry five 20p coins around with me, in a small self-seal plastic bag.
Just to show anyone who is interested, the stages of the coin;
1982 2nd portrait, 1995 3rd portrait, 2000 4th portrait, Undated (2008), 2008 new reverse.
I had to change the bag the other day as it had split.

For my coins i use several binders with a double lever arch, such as:
In there i use plastic sheets for 20 coin-holders (as mayank showd in the post on september 4th). Each country has it's own plastic sheet. If i have 12 coins of a country, the other 8 places will be filled with a "non-hole-coin-card". In the lower-right-corner i add the name of the country so it makes searches easier.
Matt Probert warnes about plastic and he is right. There are plastic coin-holders which can damage your coins. But there are also coinholders with acid-free glue/plastic.
I don't write anything on the coinholders. I putt all the information in an Excel-sheet. You can see a part of my list here:
And my coins are added in the plastic sheets on the same way as on my Excel-list.
Byrne showed in his post on september 6th also an Excel-sheet. I don't add flags or maps. But i made a column with the countrynames in it. This makes searches a lot easier. I use the autofilter on the list. With the formula CountA you can count the total of your list. With the formula Subtotal you can count the total of the selected rows.
I scan each coin and each picture has a name. With a macro i can easily popup my obverse or reverse-coin-image.
With an other macro i can easily make my own webpages with my coins and my doubles.
And my doubles, i put them in envelopes, on the envelope i write the country en KM-number. The envelopes are put in several containers made of cardboard.
That's how i store my coins.

Greetings all- just discovered this site tonight and thrilled to learn there are other world coin collectors. I've been collecting ~10 years in rather isolation so nice to see how others organize their collection; I've learned a ton just reading this thread.
FWIW, in coin-friendly 20/page plastic sheets I have my 1-of-everything world coin collection freely in the pocket, in 1" heavy duty binders- about 15 pages/binder, sandwiched among 4 heavy cardboard or plastic dividers to give support and to ease flipping pages. I guess my biggest sin is that I don't use the 2x2 cardboard holders. I like the idea but with nearly 3000 coins it might take a while! Everything from 19th C silver (less common) to worthless 20th C European coins. Particularly like countries of Africa since they seem less commonly available (from where I am in US).
All dups are in plastic bags organized by country and region stored in several shoe box sized containers (no idea of count- 50 pounds maybe; anybody want some pesetas? :).
Rudimentary excel sheet listing country count; individual coins listed for the countries I have fewer than ~5 coins.

Mines in a good old fashioned cabinet with drawers, each hole has as smaller hole under the felt so you can push up larger coins, filled with mostly coins of India from the Sultanates, Mughals & Princely states
I use cardboard, but I'm planteándome use this type of cardboard for each KM, I see it very interesting. and then the box. Change would be expensive, but I think my collection would gain much.

The French centimes have their own box, the French Francs the same.
The folders are scattered around where our rabbits cant eat them (don't ask!) and there are other organiser boxes littering my office.
One day I might get some work done, rather than messing about with these damned coins!

1982 2nd portrait, 1995 3rd portrait, 2000 4th portrait, Undated (2008), 2008 new reverse.

Just rinse under the tap. Sometimes warm soapy water also.
For those of you without the resources to spend on some of these fantastic storage devices, here's how I store my coins... you just have to be very careful when handling them...
I buy thick (non flexible) A4 cardboard, and A4 felt sheets, readily available from most arts & craft places. To each A4 cardboard, I attach (along the top) two A4 felt sheets. One to cushion the top and one to cushion the bottom. I label them on the outside and then in batches of 10 sets, these are packed into non PVC A4 square plastic files. Doesn't take up much space, and the coins are easy to get to.

I use UNI Note or guardmaster for the bulk of a pretty much complete set of Canadian and Danscos for American Pennies . The Uni note and GuardMaster are less than $15.00 US for about 150 coins. I relabel the divider pages or buy the blank ones.
I like the Tray idea but for 1500 coins it gets expensive, I am looking at a new product that accomidates cetified coins [slabbed] and allows for better labeling . I will update on this sometime latter afterI try it out.

The idea of having this thread was to ask all the existing and new members how they manage and store their huge/ not so huge collection so that we have all the info. at one place.
Old members have already contributed and have shared their ideas now we expect fresh members to add their bit and this is how this thread will remain active and lively.
STORING my collection
I used to have quite a big collection, with coins from all over the world, stored loose in a metal box. Very disorganised, very unprofessional, to this day I can't even tell you all how much coins I owned, but I suspect between 4000 and 5000 pieces.
About two years ago I was fed up with this pile of coins that I sold the lot to restart on a decent way. I only kept the oldest coins and the coins from which I knew they contained silver. Selling my collection is my biggest mistake ever, because I've had undoubtedly quite precious coins which I didn't know I had them. If I had discovered Numista earlier all this was probably never happened.
Today my collection is much smaller (160 pieces for the moment) but much higher of quality. I narrowed down my collection goals from 'everything' to Sweden, silver coins and commemorative €2-coins. I store my whole collection in one map, I use 2x2 coin holders non-adhensive for coins which make a good chance that they will ever disappear from my collection (e.g. because I find a piece in higher quality than the piece I currently own); and adhesive 2x2's for all coins that will never leave my collection. Every coin will also eventually get in a coin holder with the correct diameter to prevent them from shifting and turning upside down (oh, I hate that!) but that's quite a challenge.
MANAGING my collection
I do not write on my coin holders, I keep my whole collection in an excel-document:
I give every coin an unique code (form: AA000, 676000 possible combinations), when I can't find a certain coin immediately, I can go to my overview page, go to the specific coin and click on it's unique code. A hyperlink will automatically send my to the right coin in the (cronological) list. Of course, this system becomes more and more interesting every time the amount of coins in my collection increases.

Yes, I forgot to add they're made by Leuchtturm (in the UK their brand is called Lighthouse).
My currency sheets are attracting moisture. I tried putting a sheet of blotting paper between every two sheets but it didn't help much. Any suggestions/ ideas?
